Role Overview
The HR Executive will be responsible for factory workers, their attendance and manpower records, support in recruitment and onboarding, ensure statutory compliance, maintaining shopfloor discipline, and providing end-to-end HR operational support on the floor. The role acts as a key liaison between workers, supervisors, management, and external consultants.
Key Responsibilities
1. Attendance & Time Office Management
- Monitor and maintain daily attendance, shift schedules, late marks, overtime hours, weekly offs, and leave records.
- Coordinate with department supervisors to track absenteeism and update daily manpower status.
- Prepare and validate monthly attendance and time office data for payroll processing.
2. Recruitment & Onboarding
- Coordinate hiring of workers, operators, technicians, and staff positions.
- Conduct initial screening, interviews, and practical/skill tests where applicable.
- Manage onboarding activities including document collection, employee ID generation, induction planning, and training coordination.
3. Statutory Compliance
- Ensure compliance with applicable labour laws including ESI, PF, Factories Act, Gratuity, and Bonus.
- Maintain statutory registers, records, and documentation.
- Coordinate with labour law consultants and auditors for inspections and audits.
- Ensure timely submission of statutory returns and mandatory workplace displays (muster rolls, safety posters, notices, etc.).
4. Employee Relations & Shopfloor Discipline
- Address and resolve worker grievances related to attendance, leave, supervisor behaviour, and workplace concerns.
- Support disciplinary processes including misconduct handling, issuance of warning letters, notices, and documentation.
- Conduct regular shopfloor rounds to understand employee concerns, morale, and working conditions.
5. Payroll Support
- Share accurate attendance data, overtime details, new joinee and exit information, and deductions with the payroll/accounts team.
- Cross-verify wage calculations for permanent employees, workers, and contract labour to ensure accuracy and compliance.
6. Training & Development
- Coordinate induction programs, skill development initiatives, safety training, and continuous improvement sessions.
- Maintain training calendars, attendance records, and training documentation.
7. HR Documentation & MIS
- Maintain complete and up-to-date employee files, contracts, and HR records as per statutory and audit requirements.
- Prepare and share HR MIS reports including headcount, attrition, hiring status, absenteeism trends, and disciplinary cases.
8. Health, Safety & Welfare
- Support the Safety Officer in implementing workplace health and safety standards.
- Coordinate employee welfare initiatives such as canteen facilities, uniforms/PPE, transport arrangements, and health camps.
- Ensure employee welfare facilities are maintained as per statutory norms.
Requirements
- Graduate/Postgraduate in HR, Industrial Relations, or a related field.
- 2–5 years of experience in factory HR or time office operations.
- Strong knowledge of labour laws and statutory compliance.
- Experience working in manufacturing or industrial environments is preferred.
